I’m Francis Stevens, an independent photographer and filmmaker based in Gloucestershire. This notice explains how I handle personal information when you visit this website, enquire about a project or work with me.
Who is responsible
Francis Stevens is responsible for the personal information described here. For privacy questions or requests, email hi@francisstevens.co.uk or call 07539 503870.
Information I handle
This can include your name, contact details, project brief, correspondence, booking details, contracts, invoices and payment records. Photography and filmmaking projects may also include identifiable people in photographs, video or audio, along with relevant permissions and production information. Information comes from you, the client arranging a shoot, people taking part, or publicly available business contact details.
Why I use it
I use information to answer enquiries, prepare quotes, arrange and deliver projects, communicate with clients, keep business records and resolve queries or disputes. Enquiries and bookings may be handled to take steps towards a contract or fulfil a contract. Where the person concerned is not my contracting client, I may rely on legitimate interests in arranging and delivering the commissioned work, taking their rights and reasonable expectations into account. Tax and accounting records are kept to meet legal obligations.
Photographs, films and my portfolio
I use selected client work to show my photography and filmmaking services. Before displaying identifiable work, I consider the agreed permissions, contractual restrictions, context and people’s privacy. Depending on the circumstances, the lawful basis may be consent or legitimate interests in promoting my work. Where consent is the basis, it can be withdrawn. You can also object to use based on legitimate interests or contact me about an image or film that identifies you. Public portfolio copies are reviewed annually and kept only while they remain relevant and their use remains justified.
Who receives information
Relevant information may be handled by website hosting, email, file-transfer, payment, accounting and professional-advice providers, where needed for the service or my legal obligations. This website is hosted by Framer. Project files may be delivered using WeTransfer or another transfer service agreed with you. Such services handle the files and delivery information needed to provide the transfer. I store project files locally with local backups. I do not send marketing email campaigns.
How long I keep it
Enquiries that do not become bookings: up to 12 months after the last meaningful contact. Finished photographs and films: 12 months after delivery. Unused and raw files: three months after final delivery. Contracts, invoices and payment records: normally six years after the relevant tax year, and longer where a legal requirement or unresolved claim requires it. Public portfolio copies follow the separate review approach above. Files can be deleted sooner where appropriate; necessary records may be retained longer to resolve a dispute or meet the law.
Download links and third-party services
A delivery link is separate from my local backup. Its expiry is stated when the transfer is sent and depends on the chosen provider and plan. Please download and back up your delivered files promptly. When you follow a link to WhatsApp, Instagram, Facebook or a transfer service, that service also handles information under its own privacy notice. The contact map loads map tiles and software from external providers, which receive connection information such as your IP address. See the Cookies page for website details.
International processing
Some service providers may process information outside the UK. Where a restricted transfer is involved, appropriate UK transfer safeguards must be in place, such as an applicable adequacy decision or approved contractual safeguards. Contact me for details of the providers and safeguards relevant to your project.
Your rights
Depending on the circumstances, you can request access, correction, deletion, restriction or portability of your personal information, and object to certain uses. These rights have legal limits. You can withdraw consent where it is the basis for processing, without affecting earlier lawful processing. Email hi@francisstevens.co.uk to make a request. I may need to confirm your identity and will normally respond within one month.
Questions and complaints
Please contact me first if you have a concern. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint/. This notice will be updated if my services or information-handling practices change.
